If you're moving from an existing property management system, be that Origin, one of our competitor products, your own in-house solution, or a basic digital workflow such as an Excel spreadsheet, people are terrified at the thought of having to sit down and manually re-enter all the data from the old system.
Thankfully, usually there's no reason why you'd have to do that. We have an import facility to speed up this cutover process, and get you up and running on Elevate with minimal time and effort.
How does it work?
We have a set of data import spreadsheets which you can fill out and provide to us, and we'll then suck all of that data into the system via our migration scripts.
Every system out there will have its own unique format, so we can't just import the data directly from your export from the other system. Instead, your export will need a little bit of processing at your end to get it into our format, but this isn't usually too much trouble. For example, we require first name and surname in two separate fields, which most exports have, but some may provide a full name in one single field and you'll have to split these up before we can process it.
If you're migrating only a few dozen records from an old system it may actually be quicker to just enter them manually using the inbuilt postcode-lookup service to speed up entry of postal addresses. The real time-saving comes when you have scores or even hundreds or records and the thought of manually re-entering this is the stuff of nightmares!
We have previously used "data hoovers" which connect to these other systems to try to perform a quick and seamless import experience, but the third-party formats change over time and it's not an efficient approach to be constantly playing catch-up with other systems.
What data can we migrate?
For rental properties we can typically copy over the core information relating to landlords, properties, and tenants, and maintenance contractors. This will include core contact information including addresses, emails and phone numbers.
For sales properties will can usually copy over the main data relating to vendors, properties, and prospective buyers.
Does it matter which system you're currently using?
No. All data must come via our own import spreadsheets which are in our own format, so you must first ensure that your exports from whatever system you are using are tweaked to match our column headings and expected formats.
When you have your data in our format, simply supply these spreadsheets to us, we will validate them to ensure all is in order, and then we'll load them onto your system so you can get started immediately.
How long does this take?
The first thing we'll need to do is take a look at the data import spreadsheets which you provide us with to ensure that they are suitable for import. If all is in order, we can typically have these loaded into your account within a few hours.
